This Privacy Policy describes how DORA Technologies LLC ("DORA", "we", "us", or "our") collects, uses, and safeguards information in connection with the DORA platform and services. By using the DORA platform, you agree to the practices described in this policy.
1. Who We Are
DORA is a B2B dispatch automation platform designed for airline crew transportation companies. We provide automated trip monitoring, driver communication, call handling, and transcript logging on behalf of our clients (each a "Company"). We act as a data processor — we process data on your behalf and under your instruction, not for our own purposes.
2. Information We Collect
We collect only the information necessary to provide our services. This includes:
- Company account information — company name, username, and hashed password used to access this portal.
- Personnel and contact information — names, mobile numbers and roles of the managers, dispatchers and owners your company designates to receive alerts or accept transferred calls.
- Driver information — driver names, phone numbers and city assignments provided by your company.
- Vehicle information — vehicle numbers, descriptions and license plates provided by your company.
- Trip and dispatch data — trip identifiers, scheduled times, pickup and drop-off locations, and airline crew names, obtained from your DART dispatch system and from operational email delivered to the mailbox your company connects to DORA.
- Vehicle location data — near-real-time GPS position of your vehicles, obtained from your telematics provider (Geotab) or from your DART system, used to calculate driver arrival estimates.
- Voice call recordings — audio recordings of calls placed to your DORA dispatch line, including segments where a caller is transferred or escalated to a member of your staff.
- Call transcripts — automated transcriptions of those recordings, including caller phone numbers, call duration and the content of what was said.
- Crew mobile numbers and messaging consent — where a caller agrees during a call to receive trip details by text.
- Operational settings — timing thresholds, alert preferences and integration credentials stored to configure your account.
We do not collect payment information, Social Security numbers, government ID numbers, or any information from individuals who are not associated with your dispatch operations.
Call Recording
Calls to your DORA dispatch line are recorded and transcribed. DORA plays a spoken notice at the start of each inbound call stating that the call may be recorded. Where a caller is transferred or escalated to a member of your staff, the connected segment is also recorded.
Your company is responsible for notifying its own personnel — including drivers, dispatchers, managers and any staff who may receive a transferred or escalated call — that calls handled through DORA are recorded, and for obtaining any consent required in the jurisdictions where your company operates. Some states require the consent of every party to a call. You are responsible for determining and meeting the requirements that apply to your operations.
Recordings are retained as described in Section 6 and are available to your company through this portal.
3. How We Use Your Information
All data collected is used exclusively to provide and improve the DORA service for your company:
- Automating trip assignments, driver reminders, and escalation alerts.
- Logging and archiving call transcripts for your operational records.
- Syncing data to external systems you have connected (e.g., Google Drive, DART).
- Transcribing and interpreting calls, and extracting trip details from dispatch email, using automated and artificial-intelligence systems.
- Calculating driver arrival estimates from vehicle location data.
- Diagnosing service issues and improving system performance.
We do not use your data for advertising, marketing to third parties, or any purpose outside of operating the DORA platform for your company.
Mobile / SMS Information
- When crew members opt in by phone to receive text notifications, we collect the mobile number and the trip details necessary to send those messages.
- We use this information solely to deliver transactional dispatch notifications (trip details, driver/vehicle, ETA, arrival, schedule changes).
- No mobile information — including phone numbers and text-messaging opt-in/consent — is shared with third parties or affiliates for their marketing or promotional purposes, and it is never sold. Message data is processed only by our messaging infrastructure provider (Twilio) solely to transmit the messages you consented to receive.
- You may opt out at any time by replying STOP.
4. We Do Not Sell Your Data
DORA does not sell, rent, trade, or otherwise transfer any personal information or confidential business data to third parties. Your data belongs to your company. We will never monetize it, share it with advertisers, or disclose it to data brokers.
5. Data Sharing and Service Providers
We do not sell your data. We share it only in the following limited circumstances:
- Your connected integrations — data is sent to systems you have explicitly configured (for example DART, ACES, Google Drive and Geotab) as directed by your account settings.
- Amazon Web Services (AWS) — cloud hosting, compute and database services in the United States. Portal data, call recordings and transcripts are stored on AWS infrastructure.
- Twilio — telephony and messaging provider. Twilio carries voice calls and SMS notifications and processes call audio in order to transmit and record it.
- OpenAI — artificial intelligence provider. Call audio, call transcripts and the contents of operational email processed by DORA are transmitted to OpenAI to power DORA’s voice assistant, speech transcription and automated extraction of trip details.
- Google — where your company enables it, call recordings, transcripts and dispatch documents are stored in the Google Drive account you connect.
- Legal obligations — we may disclose data if required by law, court order, or to protect the rights, property or safety of DORA or its clients.
Each of these providers operates under its own terms and privacy policy and receives your data only to perform services for DORA. None receives your data for their own marketing purposes, and none is permitted to sell it.
6. Data Retention
- Call recordings (audio) — retained for 90 days, then automatically deleted by a scheduled process.
- Call transcripts — retained for as long as your account is active, so they remain available as an operational record after the underlying audio is deleted.
- Trip, driver, vehicle and configuration data — retained for as long as your account is active.
- Operational logs — retained for as long as needed to diagnose and support the service.
Where your company has connected Google Drive, copies of recordings and transcripts written to your own Drive are under your control and are not deleted by DORA’s retention process.
You may request deletion of specific records at any time by contacting your DORA account representative. Upon termination of your service agreement, your data will be deleted or returned to you within 30 days. Encrypted infrastructure backups may persist for a short period after deletion before being overwritten on their normal cycle.
7. Data Security
We implement industry-standard security practices to protect your data, including encrypted connections (HTTPS/TLS), hashed credential storage, per-company separation so that no client can access another client’s data, restricted administrative access and automated infrastructure backups. Access to client data is limited to personnel who require it to operate and support the service.
No method of transmission or storage is completely secure, but we take commercially reasonable steps to protect your information. If we become aware of a breach affecting your data, we will notify your company without undue delay.
8. Your Rights
As a client company, you have the right to:
- Access a copy of the data we hold about your company and its personnel.
- Request correction of inaccurate data.
- Request deletion of your data (subject to legal retention requirements).
- Restrict or object to certain processing activities.
- Receive your data in a portable format upon request.
To exercise any of these rights, contact us at the address below.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify active clients of material changes by posting a notice in the portal. Continued use of DORA after changes are posted constitutes acceptance of the updated policy.
